Free Tier
All organizations start with a Free tier that includes:
- Up to 50 users
- Unlimited applications
- Basic features including applications, content types, sections, and reports
Paid Plans
For organizations that need more users or advanced features, AppsFolio offers three paid subscription tiers:

Save money by choosing yearly billing - you get two months free compared to monthly billing.
Paid Plan Features
All paid plans include:
- Import Apps - Bulk import applications with owner/editor assignment
- Automatic Email Domain - Users can auto-join your organization based on their email domain
- CSV Imports and Exports - Bulk data management capabilities
How to Subscribe
- Navigate to the Subscribe page from your organization settings or the subscription banner
- Use the slider to select your expected number of users
- Choose between Monthly or Yearly billing
- The recommended plan for your user count will be highlighted
- Click Subscribe on your chosen plan
- Complete payment through Stripe's secure checkout

All payments are processed securely through Stripe. AppsFolio does not store your credit card information.
Billing Dashboard
Once subscribed, you can view your billing details on the Billing page. Navigate to it from your organization settings.
Plan Overview
The billing dashboard displays:
- Current plan name and billing interval (monthly or yearly)
- Subscription status - shown as a color-coded badge:
- Green for active
- Blue for trialing
- Red for past due
- Gray for canceled
- Current billing period with start date and next renewal date
- Manage in Stripe button to access the full Stripe billing portal
- Change Plan or Upgrade button to switch to a different tier
Usage Tracking
The billing dashboard shows your organization's current usage:
- Team members - Current count vs. your plan's user limit
- Progress bar - Visual indicator that changes color as you approach your limit (orange at normal usage, amber above 80%, red above 95%)
- Upgrade prompt when you reach your plan's user limit
Invoice History
View your recent invoices directly on the billing page:
- Date, amount, and payment status for each invoice
- Click View to see the full invoice details on Stripe
Managing Your Subscription
Stripe Billing Portal
Click Manage in Stripe on the billing page to access the Stripe billing portal where you can:
- View full payment history
- Update payment method
- Change billing address
- Download invoices
- Cancel subscription
Changing Plans
To upgrade or switch plans, click Change Plan on the billing page. You'll be redirected to Stripe checkout to complete the plan change.
Cancellation
When you cancel your subscription:
- Access continues until the end of your current billing period
- Your data remains in AppsFolio
- You revert to Free tier limits (50 users maximum)
Warning
If your organization exceeds 50 users when your subscription ends, some users may lose access until the user count is reduced or a new subscription is activated.
Email Notifications
AppsFolio sends email notifications for key billing events:
- Payment received - Confirmation when your subscription payment is processed
- Renewal reminder - Advance notice before your next billing cycle
- Subscription canceled - Confirmation of cancellation with your access end date
- Approaching user limit - Alert when your team member count nears your plan's limit
Payment Issues
If a payment fails, you'll receive an email notification. Common reasons for failed payments include:
- Expired credit card
- Insufficient funds
- Card declined by bank
To resolve payment issues:
- Go to the Billing page
- Click Manage in Stripe to access the billing portal
- Update your payment method
- Retry the payment
Your subscription remains active during a brief grace period while you resolve payment issues. If payment is not received, your subscription status will change to past_due and eventually be canceled.
